Job Description

We are seeking a highly professional and proactive Executive Assistant to support our client's Managing Partners and Shareholders. This individual will play a critical role in optimizing the efficiency and organization of senior leadership by providing top-tier administrative and operational support in a fast-paced, confidential legal environment.

Responsibilities:

  • Provide high-level administrative support to managing partners, including managing calendars, scheduling meetings, coordinating travel, and handling confidential communications.
  • Prepare, review, and manage documents and correspondence, including engagement letters, reports, client communications, and billing support.
  • Serve as a liaison between partners and clients, court personnel, financial professionals, and internal staff.
  • Track deadlines, filings, and critical case/matter timelines.
  • Maintain and organize client and internal records with a high degree of accuracy and discretion.
  • Assist with special projects related to firm management, client development, or complex legal matters.
  • Ensure smooth day-to-day operations and anticipate needs to maximize executive efficiency.

Qualifications:

  • Minimum of 5 years of executive-level administrative experience, preferably in a law firm, professional services firm, or high-stakes corporate setting.
  • Exceptional organizational and time-management skills; ability to multitask and prioritize competing demands.
  • Discretion and professionalism in handling confidential and sensitive information.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with legal billing or document management software is a plus.
  • Familiarity with legal terminology related to tax, trusts and estates, or corporate law is highly desirable.
