Job Description
The Proposal Coordinator supports the Global Client Development and Proposals Team in creating high-quality, client-focused responses to requests for proposals (RFPs), requests for information (RFIs), and other business development initiatives. This role requires strong project management, writing, and collaboration skills to ensure consistent, brand-aligned deliverables across markets and practices.
Key Responsibilities:
* Prepare and coordinate responses to client RFPs, RFIs, and other proposal-related materials from planning through final delivery.
* Analyze solicitation requirements and develop proposal plans, including timelines, responsibilities, and content needs (e.g., narratives, bios, graphics).
* Collaborate with business development teams, senior leadership, and attorneys to define strategy, value proposition, and messaging for each pursuit.
* Draft custom content, such as executive summaries, cover letters, and capability statements, tailored to individual opportunities.
* Work cross-functionally with marketing and other internal teams to gather inputs and finalize proposal deliverables.
* Conduct research on prospective clients to inform proposal content and tailor messaging in coordination with the Research team.
* Ensure proposals follow internal production processes, quality control standards, and brand guidelines.
* Write and edit reusable marketing content, including attorney biographies, case studies, and practice area descriptions.
* Maintain and update a centralized content library and ensure regular refreshes of proposal resources.
* Support data entry and tracking of pitch and proposal activity in Dynamics; assist with reporting and dashboard generation.
* Train team members on the use of Dynamics for logging and tracking proposal activity.
* Assist in the preparation of directory submissions in collaboration with global teams.
* Respond to ad hoc writing and client research assignments, as needed.
* Support the development of internal and external questionnaires, surveys, and pitch materials in coordination with firm departments.
