Job Description

A global investment firm is seeking a senior-level Executive Assistant to support a senior executive and team. This is a challenging yet interesting position that allows direct impact at the highest level, working in a collaborative team environment. Ideally, candidates would have experience working within financial services supporting a front office, client facing team.

Onsite Monday - Friday

Hours: 8am - 5:30pm

Salary: 140k - 160k base plus bonus

Experience:

• Plan and coordinate domestic and international travel for executive and team
• Arrange flights, accommodations, ground transportation, visas, foreign currency, creating itineraries, etc. as necessary
• Arrange, confirm, reschedule, and follow up on appointments
• Draft outgoing correspondence, compose emails, and read/file incoming correspondence
• Reconcile and prepare expense reports
• Maintain an up-to-date database of business and personal contacts
• Assist with project work and internal and external communications as needed
• Other duties as needed on a day-to-day basis

Requirements:

• Must have a minimum of 10 + years of experience supporting executives in financial services
• Experience in a fast-paced, global organization
• Proficient PC skills (MS Office: Excel, Word, PowerPoint, and Outlook; Adobe)
• Bachelor’s degree required
• Highly organized with strong time-management and prioritization skills
• Client-service oriented with strong discretion and ability to deal with highly confidential information
• Calm under pressure in a fast-paced environment
• Flexible and able to work additional hours when needed
